Satahanka Registration Instructions 

You can register for Satahanka through the member register of the Guides and Scouts of Finland. 

Please note that the participation fee must be paid immediately upon registration.  

Registration  

Registration opens on Tuesday, March 4, 2025, at 00:00 EET and closes on Wednesday, March 19, 2025, at 23:59 EET. It is recommended not to wait until the last moment to register. 

To register as a guide/scout, you need a PartioID. Instructions on how to create one can be found here https://www.partio.fi/partiolaiselle/apua-ja-ohjeita/partioid/, and instructions for guardians can be found here https://www.partio.fi/wp-content/uploads/2018/06/Kuksa-Huoltajalle.pdf. The registration for a minor must be completed by their guardian, who must have their own guardian PartioID. If you have forgotten your PartioID or encounter any issues, please contact your scout group’s membership registrar. 

Non-guide/scout participants can register using the same registration link without a PartioID. If a guardian is registering both guide/scout and non-guide/scout participants at the same time, they must use the same registration link. However, when registering a non-guide/scout, the guardian must first log out of their member register account to see the non-guide/scout registration option. 

All registration fields must be filled out truthfully and carefully. Fields marked with an asterisk (*) are mandatory. If any required fields are left empty, the registration form cannot be submitted. Missing information will be displayed at the beginning of the form if submission fails. Please complete the missing fields and resubmit the form. 

Payment of the Participation Fee 

The participation fee must be paid immediately upon registration. Each participant must be registered and paid for separately. If the payment is interrupted for any reason, registration must be restarted from the beginning. Registration is only confirmed once the system acknowledges the payment. Please do not close the browser before payment confirmation. 

Do not change the participation fee options after clicking ”Calculate total price.” If corrections are needed, restart the form from the beginning. 

The participation fee is processed through the Paytrail payment service, which will appear as the payment recipient on the payer’s bank statement, regardless of the selected payment method. Any transaction fees charged by the payment processor will be added to the participant’s payment. You can read more about payment options and fees here (LINKKI). 

Participation Fees 

  • Finnish guide/scout (full camp) participation fee: 270€ 
  • Non-guide/scout participation fee: 320€ 
  • International guide/scout (full camp) participation fee: 320€ 
  • Finnish guide/scout daily fee: 50€ 
  • Non-guide/scout daily fee: 60€ 

Family Camp Fees (for children attending with a guardian): 

  • Ages 7–11 (born 2014–2018): 180€ 
  • Ages 4–6 (born 2019–2021): 135€ 
  • Under 3 years (born 2022 or later): Free 
  • Daily fee for children aged 4–11: 35€ 

Participant Information  

For the members (guides and scouts) some basic details will be automatically retrieved. Please check that the information is correct. If any information is incorrect or missing, you can update it using the Edit button and save the changes by clicking Save person. 

Ensure that the correct participant is selected in the dropdown menu at the top. This is particularly important when a guardian is registering a minor. The participant’s name must always be selected in the dropdown menu. 

In the Organization Represented field, choose the organization you are representing at the event. This option is not available for non-guides/scouts. 

Photography Permission 

You can grant or deny photography permission during registration. Participants without photography permission will receive a special badge to attach to their scarf, which must remain visible throughout the event. This helps photographers to avoid taking pictures of them.  

Camp Participation 

Indicate whether you will attend the entire camp or only part of it, and whether you are a guide/scout or a non-guide/scout participant. Guides and scouts must have their 2025 membership fee paid. 

If attending only part of the camp, select the specific days you will be present. The system will calculate your fee based on daily rates. Please note that there are separate sections for guides/scouts, non-guides/scouts and children. 

If you have registered for the full camp but already know that you won’t be present for the entire time, indicate your attendance days here. 

Camp Life 

This section asks about your language skills, swimming skills and boating experience. It is important to provide accurate information to ensure your safety and a successful camp experience. 

Camp food   

Providing vegetarian meals is the most effective climate-friendly action we can take at this event. All meals at the camp will be lactose-free vegetarian food (lacto-ovo vegetarian, including dairy and eggs). There is no need to specify this as a dietary preference. 

Please indicate any other food allergies as precisely as possible. You can update your dietary and allergy details in the member register latest May 10, 2025. 

If your diet is complex, requires further explanation, or you prefer to provide a “safe-to-eat” list, you may leave the dietary selection boxes unchecked and describe your needs in the additional dietary information field. 

Health and Medical Needs 

Include any health-related information that may impact your participation and that the camp’s medical team should be aware of. This information will only be used by the event’s first aid team and project office if necessary. 

You can update your health information in the member register latest May 10, 2025. 

Also, provide details on any accessibility needs to help us make the event as inclusive as possible. This information will be shared with the event’s accessibility team and the project office. If you require an assistant, please indicate this here. 

Guardian or Emergency Contact 

Provide the contact details of a guardian or a close relative/person.  

Acting as a Guardian at the Camp 

If you will be acting as a guardian for one or more 0–11-year-old participants, indicate this here. Specify whether you will be a guardian for 50% or 100% of the camp and whether you are available for other volunteer tasks. 

Service Team Tasks 

Explorer guides and scouts (in Finnish called Samoajat): Select the area you are interested in for your volunteer task at the camp. 

Rangers & Rovers and Adults (in Finnish Vaeltajat & Aikuiset) 

Indicate whether you already have a task at the camp. If not, please select the area you are interested in. Also, provide any relevant driving licenses or qualifications. 

Assistants 

If you are attending as an assistant, please provide the name of the person you are assisting.  

Family Camp Questions 

One family member should answer the family camp questions. A family group consists of one or more families where one adult is responsible for supervising children under 12 years old. The responsible adult does not have to be a close relative. 

Voluntary Contributions 

You have the option to make a voluntary donation to the camp scholarship fund, which helps ensure that everyone has the opportunity to attend the camp. Scholarships are awarded based on financial and social need. 

You can also make a voluntary payment to offset the environmental impact of your camp participation. 

Terms and Conditions 

You must agree to the registration, participation, and cancellation terms and commit to following them.  

Accommodation Details 

Indicate which guide/scout troop you will be staying with. If you select another guide/scout troop, make sure you have confirmed with them beforehand.  

Finalizing Registration with Payment 

The event fee must be paid immediately. Payment options include online banking, major credit cards, mobile payment, or installment payment (via Walley, a payment solution owned by Collector Bank Ab). If the payment fails, registration must be restarted. Registration is only confirmed once the system acknowledges the payment.  

Editing Registration Information 

You can update your health and dietary information in the member register Kuksa latest May 10, 2025, or by contacting satahanka@partio.fi.  

Guides, scouts and guardians can view and edit registration details by logging into Kuksa (kuksa.partio.fi). After logging in, select the name of the person whose registration you want to view from the top right corner of the Kuksa homepage > Go to Personal Information > Select the Events tab > Click the Edit button on the right side of the event (SP Satahanka XIV). 

Non-guides/scouts can request changes via email at satahanka@partio.fi. 

Terms of the registration, participation and cancellation

REGISTRATION 

Registration for the Satahanka 2025 camp is open 4.-19.3.2025. Registration is done via the member register Kuksa of the Guides and Scouts of Finland and the participation fee is paid as an online payment when registering. Only registrations submitted via Kuksa and paid at the same time are accepted, with the exception of grant applicants (see the section Grants).  

Registration becomes binding as soon as the participation fee has been paid. The event organizer has the right to limit the maximum number of participants in the event. 

All registrations are submitted via the member register Kuksa of the Guides and Scouts of Finland. The day camp fee entitles one to participate for 24 hours, including meals from lunch on the day of arrival to breakfast on the day of departure, the camp programme and tent accommodation using your own gear. 

Participants under the age of 18 are registered by their guardian using their guardian ID. If there are any questions concerning the creation of guardian IDs, the Guide or Scout or their guardian can contact the keeper of the member register in their local troop. 

GRANTS 

Participants who have paid the member fee of the Guides and Scouts of Finland can apply for a grant to sponsor their participation in the camp. The grants can be applied for at Kuksa during registration (4.-19.3.2025). It is not possible to apply for a grant after this period. 

Grant applications are confidential and processed by a grant group that works separately from the camp organization. The participant gives their consent to the disclosure of data to the grant group when applying. Grants are awarded purely based on the information in the application and no attachments are required. 

Participants aged 12-25 (born between 2000 and 2013) can apply for a grant covering the full cost of the camp (€270). Grants covering a half of the camp fee are open to all participants over 12 years old (born in 2013 or later).  

The amount of the awarded grant may differ from the applied grant. However, the amount cannot be higher than the sum applied for or the participation fee of the participant. You can only apply for a grant for a full camp registration. 

The number of people in the household, income, physical disabilities, illnesses and financial situation all play a role in the decision. In addition to these, other reasons and the number of people in the household attending the camp will also influence the grant decision. 

The participant will be directly informed of the grant decision by 4.4.2025. Grant applicants do not pay the participation fee during registration. Applicants who receive a negative or a lower decision on their grant may cancel their participation. An invoice will then be sent to those who have applied for a grant but have not received one or have received half a grant. 

Illness, cancellation GUARANTEE and transfer of registration to another person 

The participation fee is not refunded in the case of an illness or accident, but you can claim for compensation to cover the fee, primarily via your own insurance company or, as a secondary option, via the insurance of the guides and scouts of Finland (https://scouts.fi/contact-information/scout-insurance/). 

Summer work, military and civilian service guarantee is valid latest 15.5.2025 

The summer job, military and non-military service guarantee mean the right to cancel your camp participation or shorten the participation time, if your summer job or service coincides with the camp and you cannot participate in the camp. The summer job, military and non-military service guarantee cover the camper who applied for the guarantee and the participants under target group-aged (0–11-year-old) children.  

Cancelling the participation requires a free-form certificate from the employer, the Defence Forces or the Non-military Service Centre. In the case of the summer job, military and non-military service guarantee, the participation fee or, for a shorter camp, the difference between the original and the new camp fee will be refunded to the participant. 

The accessibility guarantee is valid latest 15.5.2025 

The accessibility guarantee allows a camper to cancel their camp participation if the camper has a special accessibility need which the Satahanka camp organization is unable to fulfil, despite efforts to do so. To apply the accessibility guarantee, the participant is always required to contact the Satahanka organization in writing at satahanka@partio.fi to notify it of their accessibility need.  

The Satahanka organisation always has the primary right to seek to meet accessibility needs and the participant has the obligation to contribute by communicating with the Satahanka organisation and working together to find a solution. 

The Satahanka organization has the right to solely determine if the accessibility need is necessary and if camps measures to fulfil it are sufficient.  

The accessibility guarantee also applies in situations where the participant needs an assistant in the camp, but getting an assistant to the camp is not possible. The use of the accessibility guarantee always requires a doctor’s certificate or similar, indicating the participants special need. In the case of the accessibility guarantee, the full participation fee will be refunded to the participant. 

In the case of the summer job, military and non-military service guarantee and the accessibility guarantee, if the participant has received a grant for participation, the share of the participation fee covered by the grant will not be refunded or otherwise reimbursed. Only the share of the participation fee paid by the participant themselves will therefore be refunded to them, unless the grant has covered the full participation fee. 

Transfer of camp participation to another participant is possible latest 15.5.2025 

The participant transferring the camp participation is responsible for finding a replacement participant and settling the participation fee with the new participant in the manner of his/her choice. The Guides and Scouts of Finland / Satahanka camp organization will not invoice the new participant or otherwise compensate the original participant for the fee. Camp participation can only be transferred to an enrolment of the same time slot and fee category.  

When transferring the camp participation, if non-attending participant has a child born in 2018 or later, the child’s participation can be cancelled, and the child’s participation fee will be refunded. If the new participant has a child born 2018 or later when receiving a transferred camp participation, the child can also be registered for the camp during the transfer. If you are unable to transfer your participation to someone else, please cancel your participation by contacting the project office at satahanka@partio.fi. The participation fee will not be refunded.  

All cancellations in accordance with these terms and changes to submitted registrations should be sent to satahanka@partio.fi. 

PARTICIPATION FEE AND TERMS OF PAYMENT  

A paid participation fee is a requirement for entering the camp area.  

The participation fee is payable online at the time of registration, using the payment methods available. 

The participation fee of grant applicants is invoiced after they have received their grant decision, unless the grant covers the full participation fee. The invoice will be sent directly to each participant according to the method of invoicing which one has given in Kuksa. The term of payment of the invoice for grant applicants is 14 days. 

Paid participation fees are not refunded for reasons attributable to the participant, except in the case of the summer job, military and non-military service guarantee and the accessibility guarantee.  

PERSONAL ASSISTANT IN THE CAMP  

It is possible to participate in Satahanka with a personal assistant. These conditions apply as appropriate to the registration of assistants. The participation of a helper with the assisted person is free of charge. 

REMOVAL OF A PARTICIPANT OR LEAVING THE CAMP ON YOUR OWN ACCORD 

In a situation where a participant causes a danger or serious harm to themselves and/or other campers, a participant over the age of 18 can be sent home at their own expense in the middle of the camp and the participation fee will not be refunded. If the participant is underage, their guardian will be invited to collect them from the camp and the participation fee will not be refunded in such cases either. 

Satahanka is an alcohol and narcotic free camp. Bringing alcohol or narcotics to the camp, having them in your possession or using them in the camp area or otherwise during the camp is strictly prohibited. The prohibition also concerns arriving at the camp and otherwise appearing in the camp intoxicated. The possession and use of alcohol and narcotics will be dealt with immediately. In the case of the use or possession of alcohol or narcotics by an underage child, a child welfare report will be filed, and the guardians will be contacted and asked to take the participant home with them. The participation fee will not be refunded in the above situations. In the case of an adult participant, they will be sent home at their own expense in the middle of the camp and the participation fee will not be refunded. 

The use and possession of narcotics is a criminal offence and will always be reported to the police as well. 

If a participant leaves the camp early by their own or their guardian’s decision, the participation fee will not be refunded. 

Force majeure / CANCELLING THE CAMP 

The Guides and Scouts of Finland is not responsible for any change or damage that is caused by a force majeure beyond its reasonable control and which the Guides and Scouts of Finland cannot reasonably be expected to have considered at the time of registration and whose consequences could also not have been reasonably prevented by the Guides and Scouts of Finland, such as war, rebellion, a global pandemic, a measure or recommendation by an authority that prevents performance, a strike or similar exceptional circumstances in Finland. These situations also include damage caused by a natural phenomenon, such as a forest fire or a major storm, particularly in the intended area of the event or in its immediate vicinity, that prevent the organization of the event. 

In such cases, the Guides and Scouts of Finland has at its own discretion, the right to cancel or end the event early or make changes to the event, including its content, method of organization, time, duration and place. 

If the event must be cancelled or ended early or the event is postponed to a time that does not suit a participant, the participation fee will be refunded to the participant, less the share that has already been tied to event organization and that cannot be recovered from the payment recipient or ultimately the insurance company. 

If a grant for participation has been granted to cover the costs of participation in part or in full, the share of the participation fee included in the grant will not be refunded to the participant or otherwise reimbursed. Therefore, grant cannot be used in other events or in the other activities of the Guides and Scouts of Finland or elsewhere. The grant can be postponed to a possible new event date, but if postponing to a new time does not suit the participant, the grant cannot be used for other events or purposes. If the grant has covered only part of the participation fee, the share paid by the participant themselves, i.e. the difference between the grant and the participation fee, will be refunded to the participant under the same terms as to the participants who have paid the full participation fee themselves without a grant.

Payment methods

  • The participation fee for the event is paid via Paytrail. Paytrail will also appear on the payer’s bank statement as the recipient of the payment, regardless of the payment method chosen. 
  • Participation in the event can be cancelled, but the participation fee is non-refundable. In the event of illness or accident, the participation fee is non-refundable, but it may be possible to claim compensation from your own insurance company. 
  • If the event has to be cancelled, the participation fee will be refunded, less the amount of the fee calculated on the basis of the costs incurred. 
  • If the event has to be cancelled, the refund of the participation fee may be subject to the creditors’ own refund conditions. Please check your own creditor’s terms and conditions.  

Online payment (with the Finnish banks) 

  • You can choose to pay by online bank transfer from the most common banks in Finland (Nordea, Osuuspankki, Danske Bank, Säästöpankki, Oma Säästöpankki, POP Pankki, Aktia, Handelsbanken, Ålandsbanken and S-Pankki).  

Credit card payment  

  • Credit card payment can be made by Visa or MasterCard.  

MobilePay  

  • With the MobilePay the payment is confirmed via the MobilePay application. The app is linked to your phone number.  

ApplePay and GooglePay 

Invoice/ instalment  

– The invoice or instalment option is offered by Walley, a payment solution owned by Collector Bank Ab.  

– An invoice surcharge of €3.80 will be added to the invoice.  

– In the case of instalments, the identity of the payer is confirmed by TUPAS authentication. Walley, the service provider, makes a credit decision during the authentication process by checking the payer’s credit information in the Bisnode Finland Oy register. After a positive credit decision, the payment transaction is confirmed, after which Walley sends the customer an e-mail invoice.  

– The invoice has an interest-free payment period of 45 days, and the customer can conclude a credit agreement with Collector Bank Ab with a payment period of 1-36 months and pay the invoice in instalments. The credit agreement is between the customer and Collector Bank Ab and the instalment is subject to Walley’s own payment terms: https://cdn.walleypay.com/terms/Terms_FI.pdf . The terms also contain further information on billing charges and credit interest rates. 

Transfer your registration to another person

Terms and conditions for the transfer of registration to another person 

The registration for Satahanka 2025 is binding. If you have registered, but cannot join the camp, you can transfer your registration to another person. These special terms and conditions are followed in the case of transferring the participation to another person:  

  • Transferring participation is valid latest 15th May 2025. 
  • Changes of participants will be subject to these terms and conditions. By registering for the event, you have accepted the terms and conditions for registration, participation and cancellation, including the conditions for substitution. Satahanka 2025 is not responsible for finding replacement nor sorting the camp fee between the parties of transferring the participation. The Guides and Scouts of Finland does not send new invoice of the participation fee nor compensate the old invoice. 
  • The new participant must meet the same conditions as the original participant that affect the price. This applies to the participant’s payment category and the length of the camp. 
  • Transferring participations cannot be performed after 15th May 2025.  
  • Original participation fee needs to be registered in the payment system of the Guides and Scouts of Finland before the transferring of the participation can be done.  

Instructions on how to make a participant exchange 

  • The changes to the participation need to be made latest 15th May 2025. 
  • Participation fee needs to be registered to The Guides and Scouts of Finland before performing the transfer. The Guides and The Guides and Scouts of Finland / Satahanka camp organization will not send an invoice to the new participant, refund the original participant or accept responsibility for substitutions. It is recommended to favor payment options where both parties are identified like Mobile Pay, Pivo, Siirto or similar.  
  • The participant, who is passing the participation to another person, please fill in this -LINKKI form latest 15 May 2025 
  • The person who is receiving participation, please fill in this LINKKI form latest 15 May 2025.  
  • Both parties will receive an email confirmation for successful transfer or additional questions latest 31st May 2025.  
  • The information provided on the forms is entered into The Guides and Scouts of Finland register for camp registration purposes.
